Introduction to Workbook Optimizer in Tableau

Updated: Nov 8, 2022

Now available in Tableau 2022.1 or later versions, the Tableau workbook optimizer is a feature that checks whether a workbook follows certain performance best practices - flagging down some of the areas requiring further actions - by categorizing the guidelines as either; take action, needs review, and passed. Note, this feature is limited - as not all aspects of performance will be captured by the performance optimizer.

Run Workbook Optimizer in the Desktop

On the Tableau Desktop, you can run workbook optimizer as follows.

  1. Once you’ve created your workbook.

  2. Go to the Server menu select Run Optimizer…

The workbook will automatically be evaluated, and the results displayed in one of the three categories; Take action, needs review, or passed.

Run Workbook Optimizer in the Browser

On the Tableau server, you can run workbook optimizer as follows.

  1. Once you’ve created your workbook.

  2. From the File menu, select Publish or Publish As >> then select Workbook Optimizer.

  3. Alternatively, go to the Publish button at the top-right section of the browser, and on the drop-down menu select Run Optimizer…

(The workbook will automatically be evaluated, and the results displayed in one of the three categories; take action, needs review, or passed).

Note, failing to address these guidelines does not prevent you from publishing the dashboard. At the end of the day, you’ve the final verdict on what makes an efficient dashboard. You can always weight on the purpose of the dashboard, against the changes needed to improve the dashboard.

So, next time you build a dashboard – make sure you run the workbook optimizer and at least address the guidelines that could highly impact the performance of your dashboards.

Remember the performance of your dashboard has a high impact on dashboard-user adoption and success.
